AGM and annual reporting to Registry of Co-operatives

Every year, we need to have an AGM and must report to Registry of Cooperatives (the government body responsible for legislation of cooperatives in NSW). This generally happens in June, as our financial year ends Jan 31st. The AGM must be within 5 months of end of financial year.


Planning the AGM

  • Give members official notice of AGM date at least two weeks(?) in advance
  • Book a room on campus well in advance to allow 2 weeks notice
  • Find a projector to display documents during the meeting (rooms on campus often have this built in)
  • Organise food & snacks.

Things we need to do at an AGM

  • Elect a facilitator and minute-taker
  • Accept the minutes of the last AGM
  • Remove old directors and elect new directors
  • Elect a secretary
  • Accept the auditor's report and financial statement
  • Confirm our auditor for the next year

After the AGM (needs expanding)

  • Directors must be sign forms and be added to director mailing list, and be entered as account signatories with our bank.
  • Send new director details to registry of coops (this is a legal requirement).
