Members' orders and payment

  • Bread is only available to members
  • There is a bread clipboard, which has a price list and order form.
  • Members pay for their bread when they make an order.
  • There's no discount on bread, and it's MISC (not GST).

Ordering from supplier

The bread order for each Thursday must be email to Neu's organic bakery by the Tuesday evening before.

Receiving bread

No one needs to be present to receive the bread order. The crate with a sign for the delivery person should have been put to the right of the entry on Wednesday night, check that this has happened and if not follow up with coordinators.

  • Come into the shop on Thursday morning before ~11am and tag bread loafs with names on the order form (name tags are kept behind the till in a small black tray with a clear plastic lid)
  • Cross check and cross check invoice, delivery, and actual bread order. Follow up discrepancies with the supplier Asap.

Paying the supplier for bread

To process the invoice:

  • Tick and cross-off correctly ordered/delivered bread
  • If there are discrepancies (e.g. bread we didn’t order; bread that wasn’t delivered)
    • Call Shepherd’s and make arrangements with bread-orderers/coordinators (e.g. if the invoice amount needs to be adjusted, you must get Shepherd’s agreement and they have to update their records)
    • Write details of the discrepancies, and the action taken on the invoice
    • If payment amount is adjusted with Shepherd’s, write the adjusted/agreed invoice amount on the invoice
  • If there are no discrepancies
    • write “all OK” and your name and date
    • write “pay invoice amount in full” on the bottom of the invoice near the amount
  • File the invoice in the folder – It will be paid electronically

Bread order tasks

  • Print up-to-date order forms for the shop
  • Update order forms to reflect Shepherds’ current prices and stock
  • NOTE: We charge 20% on top of wholesale prices
  • Stock – The supplier changes stock occasionally, including seasonal stock – Easter and Christmas. Ask them about seasonal stock (hot cross buns, fruit mince tarts)
  • Create new blank tags – I usually cut up a clean big yoghurt container
